1Ready-made categories
New shops start with fifteen expense categories covering the usual costs, such as rent, electricity, transport, repairs and tea and snacks for staff. You can use them as they are, which makes entry quick, and the monthly summary groups everything by category.

2Recording an expense
An expense takes four things: the category, the amount, the account it was paid from (Cash, Bank, JazzCash or Easypaisa) and an optional note. Choosing the account means the balance falls where the money actually left, so your cashbook stays right.
Without a system
- Small costs forgotten
- Profit overstated
- No view of creeping bills
With Dukaan POS
- Every cost by category
- Net profit after expenses
- Month to month comparison
3Salaries and advances in their place
Staff pay is handled in payroll rather than as a random expense, so attendance, bonuses and advances are tracked properly. The net profit report shows salaries as their own line next to shop expenses.
🧮 Profit and margin calculator
Margin is profit as a share of the selling price. Markup is profit as a share of cost.
4From sales to real profit
The net profit report lays it out in order. Net sales minus cost of goods is gross profit. From that come shop expenses, salaries, damaged or expired stock and any cash shortage. What remains is your net operating profit. If Rs 600,000 of sales gives Rs 90,000 gross and your expenses are Rs 70,000, the true profit is Rs 20,000, and that is the number to plan with.
5Watching expenses month to month
The expense summary lists each category for a chosen period with a count and a total. Comparing months quickly shows which costs are creeping up: a generator bill that doubled, transport that keeps rising. You can act on those, which you cannot do if costs are never recorded.
6Common costs owners forget
The usual leaks are small and frequent: tea and lunch for staff, rickshaw fares for deliveries, mobile top-ups, repairs to the fridge or the shutter, fuel for the generator, shopping bags and printing paper. Alone each is minor, yet together they can reach tens of thousands of rupees a month. Record them on the day, even if the amount is Rs 150. After a month the summary will show you exactly which line deserves attention.
7Setting a monthly budget in your head
Once you have two or three months of entries, you know what a normal month costs. Write those numbers down as your own budget: rent, electricity, wages and the rest. At mid-month, glance at the summary and compare. If electricity is already at the full month's figure by the fifteenth, you have time to check the cooling units or the lighting. Records turn surprises into early warnings.
