Employee attendance and salary software for shop owners who pay monthly staff

Every month end brings the same argument: how many days did he come, how much advance did he take, what do I owe him? Employee attendance and salary software for shop use settles that with a record. Dukaan POS tracks who came in, what advances were given and what the final salary is, so payday is arithmetic, not memory.

1Mark attendance in a tap

Each morning, open the attendance screen and mark each employee Present, Absent, Leave or Half day. The same screen works for a manager if you give them access. If you marked someone wrongly, change the status for that day; the record keeps who marked it and when.

One employee's month

Example salary of Rs 40,000

Rs 24,667Rs 10,000Rs 5,333
Paid out Rs 24,667Advance recovered Rs 10,000Absence cut Rs 5,333
Illustrative example numbers to show the idea, not results from a real shop.

2Employees and their salaries

An employee has a name, phone, job role, joining date and a monthly salary. Only the owner can see salary and advance figures; managers can mark attendance without seeing what people are paid. If the owner changes a salary, the app asks for a reason and keeps the old and new amounts in the change history.

Without a system

  • Attendance in a diary
  • Advances forgotten
  • Month-end arguments

With Dukaan POS

  • Daily attendance in a tap
  • Advances recorded and recovered
  • Pay calculated from the record

3Advances that are paid back through salary

When you give an advance, it is recorded as money the employee owes you and not as an expense. At payroll the advance is recovered from the salary. If Bilal's monthly pay is Rs 40,000 and he took Rs 10,000 earlier, you pay Rs 30,000 and the advance is cleared; the screen shows the salary cost as the full Rs 40,000.

Example rule: each absent day cuts 1/30 of salary and a half day cuts half of that. Set your own rules.

4Bonuses, cuts and the month's pay

The payroll screen shows, for each employee, the base salary, any bonus, any deduction (a cut), and counts of days present, absent and on leave. Pay the salary from the account of your choice and it is recorded in the books, so the salary report and the net profit figure stay correct.

5A calm month end

On the last day of the month, open payroll, read each person's summary, adjust any cut or bonus you have agreed, and pay. Because attendance and advances were recorded as they happened, there is nothing left to dispute or reconstruct, and each employee can see you work from a record.

6Fair rules you can stick to

Staff accept records better when the rules are clear. Decide in advance how many leave days a month are paid, whether a half day cuts half a day's pay, and how late arrivals are treated. Tell the team once, then let the record apply the rules to everyone alike. A salary dispute stops being your word against theirs, and good employees notice that you are consistent. It also helps in busy seasons, when you know exactly who worked extra days and can reward them with a bonus.
