1What a good khata records

For each customer: name, phone, every bill with date and items, every payment with date and how it was paid, and the balance after each. A good khata also keeps a due date. When a dispute arises, the list of bills and payments is the whole conversation, so it must be complete.

2A customer page in the app

In Dukaan POS each customer has a page showing their balance, each bill and each payment. Payments are recorded with the account they went to, such as Cash or Easypaisa. The page is the digital version of the khata page you would write by hand, but it never smudges, and it updates the balance for you.

3Names in Urdu

Customer names can be typed in Urdu and appear as typed on bills and lists. Products can carry Urdu names too, so a bill reads in the language your customers speak. The app's main labels have an Urdu option, while some detailed screens remain in English.

4Following up on dues

The customer dues list sorts by date and shows phone numbers, so a weekly round is a matter of reading down the list. Quote the exact balance and the date of the last payment when you call. A precise number invites a precise promise, which you can record on the page.

5Keeping it fair

Give the customer the same record you keep. Show them the page, bill by bill, when they ask. Transparent khata builds trust, and trust is why people buy on credit from you. A record that only one side can see invites suspicion.

6What it does not do

7Paper khata versus app khata

A paper khata is familiar and needs no device, but it cannot add itself up, it can be lost and only one person can read it at a time. An app khata adds balances automatically, can be opened by the owner and the manager together and is easy to search by name. Many shops run both for a month before they trust the app, which is a sensible way to move.
