1The four roles
| Role | Can do |
|---|---|
| Owner | Everything, including profit, costs, salaries and settings |
| Manager | Sales, stock, customers, suppliers, reports and attendance, without owner-only figures |
| Cashier | Sell, take payments and view customers at the till |
| Stock staff | Receive goods, view stock and request counts and damage |

2Owner-only information
Buying costs, profit, stock valuation, salaries, the audit trail and cash closing are visible only to the owner. A cashier sees selling prices and stock levels; they do not see what you paid or what you earned. That alone removes a common source of discount demands and staff gossip.

3Discounts under your control
A cashier can give a discount only if the owner has allowed it. If you do not, discount fields stay unavailable at their till, and prices change only through a manager or yourself.
🧮 What does a discount cost me?
A discount comes straight out of profit, so it must be won back in extra sales.
4Stock changes that wait for approval
Counts and damage entered by stock staff can wait in a list for a manager or owner to approve before they change stock. This catches typing mistakes and makes quiet shrinkage harder, because every change has a person against it.
5An audit trail for the owner
The owner can see a log of important actions with who did them and when. If a bill was edited or a balance changed, you can find out by whom. Staff who know this exists tend to be more careful with what they enter.
6Choosing the right role for each person
Give the least access that still lets a person do their job. A new cashier needs the cashier role, not manager. The nephew who unloads trucks needs stock staff. Your trusted manager gets manager, and you keep the owner role to yourself or a partner. If someone's duties grow, you can change their role later. Reviewing roles every few months, particularly after staff changes, keeps access matched to responsibility and protects your costs and profit figures.
7When roles save money
Roles pay for themselves in quiet ways. A cashier who cannot see your buying price cannot quote it to a customer who wants a cheaper deal. A stock person who needs approval for damage entries thinks twice before writing off goods that went missing. A manager who cannot see salaries does not compare pay with colleagues. None of this assumes bad intentions; it simply removes temptation and confusion, and lets honest staff work with fewer questions.
