1A register that writes itself
In a paper register someone has to write every receipt and every issue. In Dukaan POS the register is a by-product of normal work: a sale writes the issue, a purchase writes the receipt. What you add by hand is only the exception, such as a count difference or a damaged item. That is why the figures stay close to reality.
How stock moves
2The history behind every number
Open any product and you can read its stock movements in order: opening stock, purchases received, sales, returns, counts and write-offs, each with a date and the person responsible. If the shelf says 18 kg and the app says 23 kg, the history shows the last thing that changed and who changed it, which is far quicker than guessing.
Without a system
- Numbers that never match the shelf
- Nobody knows who changed what
- Damage hidden in shrinkage
With Dukaan POS
- Every movement logged
- Adjustments carry a name
- Damage counted as a loss
3Approval for staff stock changes
Many shops have a stock person who counts and receives but should not be able to rewrite figures freely. In Dukaan POS a stock-staff login can raise a request, for example a count correction or damaged goods. The request waits until the owner or manager approves or rejects it, and stock changes only when it is approved. This one feature closes a common gap for small shops with several staff.

4Damaged, expired and unsaleable stock
Sometimes goods are still in the shop but cannot be sold: broken cartons, leaked bottles, expired packets. Writing them off as damaged or expired removes them from saleable stock, keeps a reason on record and stops the cashier selling them by mistake. You then see the real cost of waste at the end of the month rather than a mystery gap between the register and the shelf.
5Stock value and stock reports
The stock report values what you hold at average purchase cost, and the low-stock report lists items at or below their minimum. Both can be downloaded as PDF or CSV. Because costs come from your recorded purchases, the figure also feeds the gross-profit calculation.
6Signs that your stock records have drifted
You will notice drift before it becomes a problem if you watch for a few signs: the app says an item is in stock but the shelf is empty, cashiers report items showing as out of stock when they are on the shelf, or the same item keeps needing count corrections. Each is a prompt to check recent purchases that were not recorded, or sales made outside the app. A short count and a note of the reason usually reveals the cause within minutes.
★Get started in four steps
- Open your product listMake sure each item has the right base unit and any packages.
- Enter opening quantitiesRecord the current stock of every item you sell.
- Give staff the right roleCreate a stock-staff login so counts go through approval.
- Review weeklyRead the low-stock list and the stock history of anything that looks wrong.
!Good to know before you start
- Stock is kept per product. Batch numbers and bin locations are not tracked.
- It does not scan barcodes.
- Saving changes needs an internet connection.
- Expiry warnings come from dates you enter at purchase and are a reminder to check, not full batch control.
?Questions about stock management software
What is stock management software?
It is software that keeps a live record of the quantity of every product, records each increase and decrease, and reports what is low, expired or valuable.
Can I see who changed my stock?
Yes. Stock movements and activity are recorded with the person who made them.
Can staff change stock without my approval?
A stock-staff login can only raise requests. The owner or manager approves them before stock changes.
Can I write off damaged goods?
Yes. Damaged and expired write-offs reduce saleable stock and are recorded with a reason.
Can I export my stock list?
Reports can be downloaded as PDF or CSV.
