1A delivery in three steps
When goods arrive, open the purchase screen, choose the supplier, and add each item with its quantity and cost. Enter how much you are paying now and set a pay-by date for the rest. Saving does three things at once: stock increases, the supplier's balance rises by what is unpaid, and the cost of each item is updated.
What you owe suppliers
Example totals by supplier
2Balances by supplier
Each supplier has a page showing the purchases made, the payments sent and what remains. Because every delivery is listed, you can check a distributor's statement against your own record before you pay, and spot a double-billed invoice.
Without a system
- Statements trusted without checking
- Payments forgotten until the supplier calls
- Prices changing unnoticed
With Dukaan POS
- Every delivery listed per supplier
- Pay-by dates in one place
- Cost updated with each purchase
3Due dates and reminders
Pay-by dates feed the notification list, so you are told when a supplier payment is coming due. Paying on time protects your credit terms with distributors, and it is much easier when the dates are in one place.
🧮 Customer balance calculator
Record each payment as it comes; the balance updates every time.
4Returns and corrections
If damaged or wrong goods go back, a supplier return reduces your stock and the amount you owe. If a purchase was entered with a mistake, correct it; the change is recorded against the original so the trail is intact.
5Costs that follow the market
Every purchase updates the average cost of the item, which the profit report uses. When a supplier raises a price, your next purchase brings the cost up and your margin picture changes with it, a gentle prompt to check your shelf price.
6A month-end routine for supplier payments
Payment day goes smoothly when it is a routine, not a scramble. On the last working days of the month, open the supplier dues report and sort by due date. Pay the suppliers whose dates have arrived first, then those who give you the best terms for paying early. Record each payment the moment you make it, with the account you paid from, so your cash figure stays right.
When you meet a new distributor, ask three things: how long they give you to pay, whether damaged goods are taken back, and whether prices are fixed for the month. Write the answers in the supplier's notes so the next person who orders does not have to ask again.
