POS software with inventory and accounting records in one app

Owners often run POS software with inventory and accounting as two systems: a till for sales and a ledger or spreadsheet for the books. Dukaan POS keeps them together, so a single sale updates stock, customer balance, cash and profit at once. This page explains what the accounting side covers and where it stops.

1What counts as accounts in a shop

For most shops, accounts means five things: how much money you hold in cash, bank and mobile wallets; how much customers owe you; how much you owe suppliers; what you spent; and what you earned. Dukaan POS tracks each of these from the transactions you record, without a separate bookkeeping step.

One sale, four effects

2Money accounts: cash, bank, JazzCash and Easypaisa

Each of the four accounts has its own balance. A cash sale increases Cash, an Easypaisa payment increases Easypaisa, and an expense paid by bank reduces Bank. You can move money between accounts, for example withdrawing wallet money to cash, and count the physical drawer at night to see whether it matches the cash figure.

Without a system

  • Billing, stock and books kept separately
  • Numbers that disagree
  • Double entry of everything

With Dukaan POS

  • One entry updates everything
  • Balances always match
  • Reports ready on demand

3Who owes whom

Customer balances rise with credit sales and fall with payments received; supplier balances rise with purchases bought on credit and fall with payments you make. The customer dues and supplier dues reports show the totals and the people behind them, with due dates. Together they show what is coming in and what must go out.

4Expenses and profit

Expenses are recorded by category, such as rent, salaries and electricity, and shown against sales in the reports. Gross profit is the sales minus the cost of goods sold, using the average cost of your stock; net operating profit also subtracts expenses. Because cost comes from real purchases, the figure improves as you record purchases carefully.

5Numbers that must agree

Behind the screens, each transaction is recorded as balanced entries, so the money, customer, supplier and stock totals stay consistent with one another. A balance-check page in settings lets the owner confirm the books still add up. If a mistake is made, you record a correction rather than erasing the original, which keeps a clear trail for you or an accountant to follow.

6Handing your records to an accountant

If an accountant or partner needs your figures, you do not have to re-type anything. Download the sales, expense, customer dues, supplier dues, stock value and cash closing reports for the period as PDF or CSV and send them together. Because they come from the same records, they agree with each other, which is the first thing an accountant checks. They remain your shop's management figures, not a substitute for the accounts you must prepare for tax.

★Get started in four steps

  1. Enter opening balancesRecord cash, bank and wallet balances, and what customers and suppliers owe, as at today.
  2. Record every purchase and expensePurchases and expenses are what make profit figures accurate.
  3. Count cash each nightCompare the drawer with the cash figure and note differences.
  4. Read the profit report weeklyCompare gross and net profit with what you expected.

!Good to know before you start

  • It records your shop's own accounts. It does not prepare tax returns or audited financial statements.
  • It is not a general ledger for a company with multiple entities or currencies.
  • Saving needs an internet connection.
  • Sales tax lines are not calculated; check tax rules with an adviser.

?Questions about POS software with inventory and accounting

Is this full accounting software?

No. It covers the accounts a shop needs day to day: money balances, customer and supplier balances, expenses and profit. It is not for tax filing or audited accounts.

Can I see profit?

Yes. The owner can see gross profit and net operating profit for any period.

Can my accountant use the data?

You can download reports as PDF or CSV and share them.

Does it handle JazzCash and Easypaisa?

Yes. Each has its own balance, and you can move money between accounts.
