1What one purchase record holds
A purchase has a supplier, a list of items and a payment. For each item you enter the quantity, the unit or package it arrived in, and the rate. The rate starts from the last price you paid, so you only change it when it moved. You can add the supplier's bill number, how much you paid today and from which account, and a pay-by date for the rest.
| Field | Example |
|---|---|
| Supplier | Al-Madina Distributors |
| Item and quantity | 20 cartons of tea, 10 bags of rice |
| Rate | Rs 4,100 a carton, Rs 5,600 a bag |
| Paid now | Rs 40,000 from Bank |
| Pay by | 20 December |
What one saved purchase does
2Three things happen at once
Saving the purchase raises the stock of every item in the right unit, adds the unpaid part to the supplier's balance, and updates the average cost of each product. That last step is why the profit report follows your real buying prices: a rise from Rs 5,400 to Rs 5,800 a bag shows up the next time you record a delivery, and your margin on rice moves with it.
Without a system
- Deliveries remembered, not recorded
- Cost prices out of date
- Supplier balance unknown
With Dukaan POS
- Each delivery with items, rate and bill number
- Cost per product kept current
- Part payment and balance recorded
3Batch numbers and expiry on arrival
For items with a shelf life you can enter the expiry date on the line, and for any item you can note a batch number. The expiry date feeds the expiry warnings; the batch number stays on the purchase as a reference so you can find it again if a supplier asks which lot you mean. Stock itself is counted per product, not per batch.
🧮 Carton to pieces calculator
Stock lives in one base unit, so any package converts cleanly.
4Finding and fixing past deliveries
Every purchase is listed with its supplier, date and total, and opening one shows its lines. If a quantity or rate was typed wrongly, you correct the purchase, and the stock, cost and supplier balance adjust together. The correction is stored against the original, so you can see what changed and when.
5Checking the statement before you pay
Distributors send statements that do not always match what arrived. Because each of your deliveries is listed under the supplier, you can compare the two line by line before paying and challenge a double charge. It takes minutes and has paid for itself in many shops in the first month.
★Get started in four steps
